Step-by-Step Framework
1. Export Everything
Create a dedicated folder on your computer just for Contact Databases.
Download your LinkedIn connections (CSV):
Click the “Me” icon at the top of your LinkedIn homepage
Go to Settings & Privacy → Data Privacy
Select Get a copy of your data → choose All
LinkedIn will send you an email when your file is ready
Pull contacts from Gmail, Outlook, your CRM, and your phone.
Gmail/Outlook: simple exports — just select CSV format.

2. Deduplicate & Standardize
Remove duplicates by email or phone number.
Upload your CSV files into an AI deduplication tool.
Use Email as your key field if most contacts come from email; use Phone Number if your phone is the main source.
Export a clean master file and open in Google Sheets or Excel.
Normalize company names (e.g., “IBM” instead of “I.B.M.” or “Intl Business Machines”).
Standardize job titles for easier sorting and filtering later.
3. Sync Into One System
Import your clean, master file into Google Contacts, HubSpot, or your CRM.
Tag contacts by source (LinkedIn, Email, CRM, Phone) so you always know where they came from.
